Job Description / Duties
Role of the Administrative Coordinator:
The Administrative Coordinator will carry out a range of activities including coordinating with our membership and special interest groups, the Continuing Professional Development Committee, the CFAS Special Interest Groups, Certification Committees, and the Financial Committee. The Administrative Coordinator will also assist in the planning, accreditation, and promotion of the CFAS Annual Meeting Conference as well as regional meetings facilitated by our Special Interest Groups, including helping the SIG groups with event planning and logistics. In addition, the Administrative Coordinator will draft official invitation letters and email blasts on behalf of the SIGs, and develop processes, policies, and procedures for SIG executive elections. The Administrative Coordinator is responsible for keeping track of clinic memberships and preparing the budgets and Financial Committee reports.
Essential Functions/Major Responsibilities
- Assist with the management of the membership database, including payments and exports
- Generate and maintain tracking files, coordinate and keep records of member CPD credits (continuing professional development)
- Coordinate accreditation of CFAS meetings
- Assist members and potential members with event registration, membership sign-up, etc.
- Assist the Special Interest Groups (SIGs) organize events, meeting, and webinars
- Draft e-blasts and invitation letters for symposia and workshops, handle venue booking, audio-visual and food and beverage requirements for events
- Assist in the development and editing of CFAS policies, processes, and procedures, prepare fiscal years budgets and financial committee reports
- Some travel required (for the annual meeting hosted in a different city each year)
- Other duties as assigned by the Executive Director
Qualifications / Required Skills
Required Skills, Knowledge, and Abilities
- Undergraduate degree in related field
- EXCELLENT skills in word processing and spreadsheet management using MS Word and Excel
- The ability to work independently with limited supervision and successfully within a team
- The ability to coordinate various events simultaneously
- Attention to detail, especially error‐free data entry and writing and when writing and following CFAS policies and processes
- Clear and accurate writing, editing, and verbal communication in English and French
- Ability to develop and enforce/follow procedures and policies regarding CFAS membership, rules and regulations regarding the hosting of events, creation of new special interest groups, elections and voting for executive slates
- The ability to maintain strict confidentiality of member and organization information
- Experience facilitating and overseeing volunteers
- Familiarity with non-profit fundraising and membership management best practices
- Strong organizational skills
- The ability to meet daily, weekly, and monthly deadlines consistently
