Job Description / Duties

ELITE IVF’s Patient Intake Coordinator acts as key communicator and educator for the company’s potential clients who are patients of infertility seeking an egg donation, surrogacy, or conventional IVF solution in their journey to parenthood.

The Patient Intake Coordinator provides information, guidance, and support to those parties interested in learning about the services ELITE IVF offers. They act as ambassadors, counsellors, and educators with potential clients up and to the point the patient signs a contract with ELITE IVF.


RESPONSIBILITIES

• Act as the initial and main point of contact with potential patients, gestational surrogates, and egg donors, liaising with individuals by phone, email, text, video call, and on occasion, in person (depending on location and proximity).

• Proactively reaches out to potential leads, establishing and maintaining trusting and respectful relationships and becoming a reliable partner to them as they are introduced to the world of IVF.

• Provides detailed explanations of each program to prospective customers, responding to questions, providing resource materials, and ensuring individuals have all of the information they need to make informed decisions.

• Coordinate all financial aspects of IVF cycles and administrative costs related to IVF cycles.

• Responds promptly to requests for information, and utilizes available resources and team members to ensure accurate information is being provided.

• Escalates questions or issues outside of the position’s authority to the Program Manager or relevant individual.

• Liaises with the Program Manager with regards to timelines, availability, logistics, and other program-related inquiries.

Qualifications / Required Skills

EDUCATION

• Post secondary education in heath, science, sales, marketing, or administration is preferred.

EXPERIENCE

• 3+ years of working experience in client service, health care, sales, or similar environment.

• Experience in providing information to customers around products and/or services.

• Experience in providing support to customers from an educational context.

• Experience or knowledge of IVF procedures would be an asset.

SKILLS

• Proven ability to provide an exceptional client experience throughout an intake or sales pipeline process.

• Demonstrated ability to interact with tact, diplomacy, and empathy.

• Proactive, takes initiative to initiate conversations, and to resolve concerns.

• Driven, motivated, and able to work independently.

• Familiar with medical terms as they relate to IVF processes.

• Comfortable in discussing sensitive medical procedures and other personal topics related to fertility and finances.

• Ability to maintain confidentiality and act in the best interest of the clients as well as ELITE IVF.

• Highly organized with strong attention to detail.

• Extroverted and able to maintain energy throughout days filled with back to back calls.

LANGUAGE

• Fluently bilingual English and French


SOFTWARE / TOOLS

• MS Teams and MS Office Suite.
