Job Description / Duties

JOB SUMMARY:

Holds the lead business administrative position at ONE Fertility. Responsible for all management activities including, but not limited to, strategy, cost management, quality assurance, accounting, human resources and marketing. This position requires close collaboration and excellent communication with all staff across departments.

DUTIES:

Accounting Duties

The Business Director is responsible for ensuring accurate and complete accounting information, in the appropriate accounting program, as well as managing accounts receivable and payable.

• Prepares cheques for bill payment on a weekly basis.
• Reconcile bank, credit card, and pharmacy statements monthly.
• Identify, investigate, and report accounting issues that arise to the Medical Director.
• Prepare monthly and quarterly reports and assist as necessary with year end audit.

Administration Duties

The Business Director is responsible for participating in administrative duties including but not limited to the following:

• Conducting review, approval and maintenance of all administrative policies and procedures of ONE Fertility.
• Attending standing meetings (Board, Management, Clinical, Health and Safety, etc).
• Interacting with outside regulatory agencies.
• Participating in disciplinary actions of the organization when appropriate.
• Understanding corporate policies, procedures, and strategies for effecting and dealing with change.
• Leads Strategic development. Assist with planning and implementation of changes within
the company.
• Is the management representative to Health and Safety.
o Documents any WSIB claims, assists in maintaining ONE Fertility health and safety standards.
o Reviews all SOPS of Health and Safety.

Human Resources Duties

The Business Director is responsible for human resources (HR) duties for all employees, as well as associate physicians, including preparing and administering payroll.

• Maintain records of employee attendance, overtime, vacation entitlement and sick/personal leave.
• Assist in staff scheduling.
• Prepare payroll on a bi-weekly basis and send by electronic transfer.
• Calculate employee portion of benefit payment and ensure that benefit payments are deducted appropriately and submitted on a timely basis to the benefit carrier.
• Complete, verify, and process forms and documentation for the administration of benefits to the benefit carrier.
• Provide information to employees on payroll matters, benefit plans and contract agreements.
• Calculate and prepare remittances to Revenue Canada for payroll deductions such as CPP, EI, Income Tax and Records of Employment (ROE).
• Prepare T4 statements at year end.
• Calculate overhead and salary if applicable of associate physicians, prepare a report for each and process the required payment.
• Maintain and develop internal HR policies and serve as a main point of communication with staff.
• Problem solving for all departments including: reception, lab, ultrasound, nursing and administration.
• Maintain employee personnel files and ensure compliance with applicable legislation(s).
• Prepare incident reports when necessary and ensure that appropriate action is taken in accordance with applicable legislation (specifically abuse, rights violations, safety etc).
• Assist in recruiting, hiring and training staff.
• Prepare contracts for new employees and associate physicians, initialize necessary accounts and ensure new employees and physicians receive all necessary information.
• Manage staffing issues that arise and ensure the administrative department of the clinic is properly staffed.
• Manage all applicable employee accounts (ie: email, EMR – Oscar).
• Manages contracts and negotiations for partners and stakeholders.
• Involved in all legal issues, including but not limited to; property negotiations, major purchases, union negotiations, etc.
• Maintains involvement in negotiations with affiliated physicians, unions, satellite clinics, and contract negotiations with management, employees, and MD's.

Quality Assurance

The Business Director participates in the process of ensuring the appropriateness and quality of services and procedures at ONE Fertility.
• Utilizes the quality assurance program to effect changes in policies and procedures.
• Participates in quality review of all areas within ONE Fertility.
• Participate in continuous quality assessment and risk management on an ongoing basis.
• Provide guidance and leadership for employee performance guidelines.

Other Duties

• Assist in company wide problem solving.
• Managing marketing initiatives.
• Maintains collegial and mutually beneficial relationships with Business Directors of other fertility centers based locally, nationally and internationally.
• Facilitates relationships with vendors and drug companies to enhance service delivery.
Promotes education and conference opportunities for staff.
• Other duties as required.

Qualifications / Required Skills


• Eight years previous work experience in management and controllership roles.
• Accounting designation required, MBA preferred
• Takes responsibility of all areas of the company
• Strong verbal and written skills.
• Demonstrated initiative, accuracy and ability to work independently.
• Proven interpersonal and communication skills.

Salary: Salary negotiable based on experience
